Ask the average Sun Citian what the most important challenge the communityâs board of directors faces, and they will probably say – communication.
Late this past spring, the board embarked on a project to improve and expand its communication with those same residents.
The board appointed a five-member ad hoc committee to research the topic and prepare some recommendations. On the committee were board members Vito Benigno and Marilynn Berendt, and residents Esther Skeggs, Vicki Goldberg, and Don Kay. All three resident members have been active in Sun City leadership, charter groups, and neighborhoods for many years.
The committee wasted no time coming up with numerous ideas for changes and new initiatives. On June 27, the board decided to implement a few of them immediately and then discuss ways to start others in the near future. The board stressed that future activities will be focused on two-way communication, to and from the board.
Started up immediately was the expansion of content in the Board Meeting Highlights information sent out in the resident e-blast on the Friday after each board meeting. The highlights will also be published on the CAM website and in the following monthâs Lifestyles magazine.
Lifestyles also will add a âFrom the Boardâ column each month in the same area of the magazine, with articles about common interest living and descriptions of the roles of the board and management. This information will also be placed in the websiteâs Document Library, and on the boardâs web page. A quarterly âCoffee with the Boardâ session will be implemented.
Resumption of town meeting events where residents can ask questions and make comments, and a procedure in which residents can submit questions in writing to board meetings will be discussed for possible implementation later. A procedure for submitting questions to the board from the Neighborhood Advisory Council reps, through the NAC board liaison, also will be explored. Several other suggestions also will be explored.
Processes for some or all of these changes will be established over the next several weeks.
The primary event triggering this activity was the decision to stop televising board meetings on closed circuit television earlier this year. The board also is considering conducting a survey after six months, to determine the level of satisfaction of the recommendations that are adopted.
