Art Room renovations, Drendel Ballroom hallway washrooms, Wildflower Trail asphalt, roof replacements, and possible use of security cameras were the main subjects of discussion and action at the September 26 meeting of the Sun City board of directors.

The board approved an agreement with Oakwood Construction, the lowest of three bidders, for the renovation of the Art Room in Prairie Lodge at a maximum cost of $74,487. This is the room located next to the Multi-Purpose card room, and is used primarily by the Pencil and Palette Club. About $2,500 in additional costs for electronics and painting of cabinets is being split 50-50 between the association and the club.
Also approved, upon the recommendation of the Elections Advisory Committee, was a three-year contract with Survey and Ballot Systems, for preparation of board of directors election ballots at a not to exceed yearly cost of $10,500.
Directors approved an agreement with Oakwood Construction, the lowest of three bidders, for bathroom renovations in the Drendel Hallway washrooms at a cost of $47,945.
The board approved an agreement with Champion Paving, the lowest of three bidders, to remove and replace asphalt at the Wildflower Lake Trail (the walkway around the lake), at a cost of $64,650. This work was completed in early October.
Also approved was an agreement with C3 Construction, the second lowest of three bidders, for roof replacement of numerous association buildings in 2018 and 2019 at a cost of $580,000. This work will be done this year on the Gazebo at Fountain View, the guardhouse, Millgrove Woodshop, tennis court shelters, and the Wildflower Lake comfort station, among others. Replacement of the Prairie Lodge roof will be done in 2019. The low bidder, Cost Roofing, at $553,885, was not accepted because the company did not reportedly agree to insurance requirements of the association
The board also discussed possible installation of surveillance systems at various association facilities, such as the lodges and woodshop. An initial bid of $35,818 was received, but the board delayed final action until they could collect and review more information about the objectives of a security system and issues concerning privacy, security, and safety.
The board also discussed what to do with the ThorGuard Lightning Detection system, which has seven stations on the Whisper Creek Golf Course and at several other locations in the community. The system is broken and the board is planning to seek price quotes for replacing four, or all seven, of the stations.
The board also approved a five-year agreement with Nyborg & Associates, the present auditor, for auditing services at a fixed annual rate of $25,000.
